This workbook identifies individuals who are required to complete the Preventing Sexual Harassment/Sexual Violence (PSHSV) Training and reports their training completion status. The data presented in this workbook is used by the Office of Compliance to ensure they meet regulatory standards.

Important Notes

This workbook only displays individuals required to take the training. The 'Days to Expiration' field is bucketed into 0-30 days, 31-60 days, and 61-90 days, with all others being marked as Expired (for < 0 days) or empty / - (for > 90 days). Additionally, as of July 2020, the expiration criteria within the workbook has been temporarily increased from 3 to 4 years while campus updates related policies.

NOTE: The Expiration Days column and filters have been temporarily removed.

NOTE: The 'Needs Renewal by December 1' column is a temporary column that shows the status of training completion as of Dec 1, 2018: 

  • Individuals who have completed their training after that time are shown as 'No'.
  • Individuals who have never taken the training show as 'N/A'
  • Individuals who have not taken the training after Dec 1, 2018 are shown as 'Yes'. 


Name Functional Definition Data Domains
Department (UDDS)

A two-character numeric designation for each department (academic or budgetary) within a Division (UDDS). Department is the fourth and fifth characters of a UDDS.

Division (UDDS)

A two-character numeric designation for each school/college or non-academic division within a Unit (UDDS). Division is the second and third characters of a UDDS.

Employee ID Number (HRS)

Employee ID Number (HRS) - A unique 8-digit number assigned to each individual in HRS; used for tracking all HRS information related to an individual. These numbers are assigned to both employees as well as Persons of Interest.

A classification system used to group employees with common attributes; examples: FA = Faculty, SH = Student Hourly, CP = University Staff, etc.

Amount of time an employee has worked in the current position.

A specific module within Canvas for the delivery of information.

Training Completion Date

This is the date the training was completed or the event was attended by individual who registered for the training or the event.

Training Status

The level of progress for completing a training. The 3 levels are Completed (finished with a passing grade), Not Completed – (in progress, not yet completed, or completed but did not receive a passing grade), and Expired (completed beyond the expiration date).
